5. Healthcare Data

PitCrew Labs operates as a HIPAA-compliant Business Associate on behalf of healthcare practices ("Covered Entities"). We execute Business Associate Agreements (BAAs) with each healthcare practice we serve, and we maintain administrative, physical, and technical safeguards as required by the HIPAA Security Rule (45 CFR Part 164).

All protected health information (PHI) is stored in encrypted databases within HIPAA-compliant infrastructure hosted on Amazon Web Services (AWS) in the United States. Access to PHI is restricted to authorized personnel under Business Associate Agreements, and all access is logged and auditable.

6. Social Media & Messaging Platform Data

When a healthcare practice connects their social media accounts to our platform, we may access and process the following data through Meta (Facebook and Instagram) platform APIs on behalf of that practice:

  • Message content: Direct messages sent to and from the practice's Facebook Page or Instagram Professional Account
  • Sender information: Name, profile identifier, and platform-specific user ID of individuals who message the practice
  • Message metadata: Timestamps, read status, and conversation identifiers

How We Use This Data

We process messaging data solely to enable healthcare practices to respond to patient and prospective patient inquiries in a timely manner. Message data is used to facilitate communication on behalf of the healthcare practice. We do not use message data for advertising, profiling, or sale to third parties.

Automated Responses

Some responses to your messages may be generated or suggested by automated systems operating on behalf of the healthcare practice. These systems are designed to provide timely, relevant responses to your inquiries.

Data Storage & Security

Social media messaging data is stored in encrypted databases within the same HIPAA-compliant AWS infrastructure described in Section 5. Access is restricted to authorized personnel of the healthcare practice and PitCrew Labs operations staff operating under Business Associate Agreements.

Data Retention

Message data is retained in active databases for the duration of our service agreement with the healthcare practice. Upon termination of service, data is retained for 30 days to accommodate any final export requests, after which it is permanently deleted. Written confirmation of data destruction is provided to the healthcare practice upon completion.

Your Rights Regarding Messaging Data

If you have communicated with a healthcare practice through Facebook or Instagram and wish to access, correct, or delete your message data, please contact the healthcare practice directly. You may also contact us at privacy@pitcrewlabs.ai and we will coordinate with the relevant practice to fulfill your request.

7. Third-Party Service Providers

We may share your information with third-party service providers who perform services on our behalf, such as hosting, data analysis, and customer service. These providers are contractually obligated to maintain the confidentiality and security of your information.

8. Your Rights

Depending on your location, you may have certain rights regarding your personal information, including:

  • The right to access your personal information
  • The right to correct inaccurate information
  • The right to request deletion of your information
  • The right to object to processing of your information
  • The right to data portability

9. Children's Privacy

Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
